Anti-Virus

As an increase in security, the Anti-Virus Feature has been added to Ready Apprentice.


Uploading Documents

When a document is uploaded successfully, it will be automatically scanned for viruses. The scan result will be stored in the database. 


Downloading or Viewing Documents

When a user attempts to download or view a document depending on the scan results the following instances will occur:


  • Clean FIles
    • If the document uploaded is free of any virus, It should be downloaded or opened successfully as usual. 
  • Infected FIles
    • If the selected file is infected a warning will appear in a modal.
      • Non-Admin Users
        Non-Admin users will receive the warning message below when an uploaded file is infected.
      • Admin Users
        Admin Users can have the option to download the infected files. However, to enable this option your business must send a request to Ready Apprentice Support.

        Note: When this permission is granted, and an Admin User attempts to download an infected file a message will appear.
        The options will do as follows:
        • Download
          The Infected FIle will BE downloaded onto the Admin User's computer, and remove the message.
        • Close
          The Infected File will NOT be downloaded to the Admin User's computer, and remove the message.


          When this option has not been activated the following message will appear:
           
  • Unknown Files
    If the Anti-VIrus scan shows a result of "Unknown" a warning message:

    The options will do as follows:
    • Download
      The Selected FIle will BE downloaded onto the User's computer, and remove the message.
    • Close
      The Selected File will NOT be downloaded to the User's computer. and remove the message.


Emails

When an existing document is added to an email, depending on the results of the Anti-Virus scan the following will happen.


  • Clean Attachments
    When a file is clean it will attach successfully to the email. This can be seen when a checkmark appears next to the file name.
  • Infected Attachments
    If an infected file is selected from the attachments menu a message will appear to the user.

    After this message is closed the file will then become unselectable. This is shown by the box next to the file name when it changes to grey.

     
  • Unknown Status
    With Documents that are flagged with "Unknown" status the following message will appear:


    This will give the User two options:
    • YES
      This option will attach the document to the email and leave a checkmark next to the file name.
    • NO
      This option will not attach the document to the email and leave the box next to the file name unchecked,
