Merging Training Contracts


Q: Where I have 2 Training Contracts with the same information, for the same Registration, how do I merge these records into 1?

A: Most of the time this gets caused by the Auto Draft process from TYIMS which will leave one Training Contract in its Signup Status, and create a new record as Draft (which then links to the Registration). The noticeable difference between the 2 records is that one will have a TYIMS TC ID, and the other will not.

The way that users can merge these records is below:

  • Step 1: On the record with no TYIMS ID, update the TYIMS Status to be blank using the TYIMS Status button.
  • Step 2: Copy the TYIMS TC ID from the other Training Contract record.
  • Step 3: Back onto the record with no Training Contract ID, we should now have the option for the Signup Actions (will show where there is no TYIMS Status on the Signup or Training Contract record). Click on Signup Actions - Lodge.
  • Step 4: This will take you to a popup screen asking you to update the Training Contract ID manually. Enter the TC ID from the other TC record and click submit.

This will prompt users with a message of either Successfully merged Training Contract records, or a Message advising that the Merge could not occur due to the name fields not matching.


Note: Ensure that when merging the TC records that the First Name and Surname are identical on both records (as this is often the cause of why the duplicate exists in the first place).
